Privacy Policy

The short version

BillNest is a vault for your own records — vehicles, appliances, connections and the paperwork that comes with them. Everything you save is yours.

We do not sell your data. We do not show ads. We do not build a profile of you, and we do not share your vault with anyone.

Your files are backed up to your own Google Drive, under your own account — not to servers we control.

What we store

Whatever you choose to enter. In practice that means:

• Item details: names, vehicle registration numbers, make, model, variant, colour, year, odometer readings, serial numbers, account and consumer numbers, and the category-specific fields you fill in.
• Documents: titles, types, dates, amounts, insurer and provider names, policy numbers, notes, and the photos or PDFs you attach.
• Service and maintenance records: what was done, parts replaced, who did it, cost, and any reminder dates you set.
• Account information: an anonymous identifier created on first launch, and — only if you choose to sign in — the email address, display name and profile photo from your Google account.

What we deliberately do not ask for

BillNest has no fields for Aadhaar numbers, PAN numbers, passport or other government identifiers, and no health or medical records. This was a deliberate decision: that data carries risk we do not think an ownership vault should be holding.

If you type such information into a free-text notes field, it is stored like any other note — but nothing in the app asks you for it, and we recommend you do not.

Where it is stored

• On your device, in an app-private database. This is the primary copy and the app works without a network connection.
• In Google Firebase (Cloud Firestore), under your own account identifier, so your vault survives losing your phone and can follow you to a new one. Access is restricted by server-side rules so one account cannot read another's data.
• Attached files — photos, scans and PDFs — are copied to a BillNest folder in your own Google Drive if you grant permission. We use the restricted drive.file permission, which lets the app see only the files it created. It cannot read anything else in your Drive.

Diagnostics

Released builds include Google Firebase Crashlytics, which reports crashes so we can fix them. A crash report contains device model, operating system version, and a stack trace showing where the app failed. It does not contain your documents or the contents of your vault.

BillNest does not collect usage analytics. We do not track which screens you open or how you use the app.

Pictures of your items

When an item has no photo of its own, BillNest looks for a freely licensed illustration on Wikimedia Commons. To do that it sends a search term built from what the item is — for example "Samsung refrigerator" or "wireless router".

That request contains no account identifier and nothing personal. A photo you take yourself is never replaced by one of these, and never leaves your device except as part of your own Drive backup.

Permissions the app asks for

• Camera and photo access, so you can capture or attach a document. Used only when you choose to add one.
• Notifications, so reminders about expiring insurance, warranties and upcoming services can reach you.
• Internet access, for sync, backup and item images.
• Google Drive access, only if you opt into file backup, and only for files BillNest itself creates.

Your choices

• Use it without signing in. BillNest creates an anonymous identifier on first launch and works fully offline. Your vault still syncs to Cloud Firestore under that anonymous identifier — signing in with Google is what adds file backup to your own Drive, and it is your choice.
• Withdraw Drive access at any time from your Google account permissions page. Existing backups stay in your Drive, under your control, and you can delete them yourself.
• Delete anything, at any time, from within the app.
• Ask us to delete your account and everything stored against it. Write to the address below and we will action it.

Keeping it safe

Data in transit is encrypted. Data on your device sits in app-private storage that other apps cannot read. Cloud data is protected by per-account server-side rules.

No system is perfect, and we will not pretend otherwise. If a breach affects your data we will tell you.

Children

BillNest is not directed at children under 13, and we do not knowingly collect their information. The School & Kids category is for a parent recording their own child's paperwork; the account holder is the adult.

Changes

If this policy changes materially we will update the effective date above and surface the change in the app rather than quietly swapping the page.
